Who it's for & aim: This page is for anyone who uses AI tools as part of their daily work—writers, researchers, analysts and anyone drafting emails or documents. It explains how to use AI safely and efficiently while protecting confidential data and the company's reputation. Following these guidelines will help you get the most out of AI without putting the business at risk.

Background problem: People often paste sensitive text into AI tools, trust outputs without checking and sometimes share raw AI responses directly with clients.

Policy overview: Use only approved tools, keep outputs concise and never publish externally without human review.

What you need to do:
• Use the prompt library for common tasks (e.g. drafting, summarising, translating).
• Label any sensitive or restricted data before you start.
• Keep answers short. If you intend to send externally, always get a second pair of eyes.
• Never paste Restricted data into an unapproved tool.

Owner & exceptions: The policy owner approves any exceptions. Security logs all usage for audit.
